Sample Tracking and Radioisotope Stock Control

Stacy provides a host of features for tracking the flow of compounds and samples through a facility, or just for keeping a track of where they are stored with a full chain of custody report.

Stacy is designed to simplify the essential record-keeping for ordering, receipt, issue and disposal of such items.

Sample Tracking

Stacy will track any sample type within an organization. Sample types can be defined with complete control over the entry fields and type of data required to identify the individual items. Entry of details can be via spreadsheet, file import or via bar-code reader

User-Definable Location Tree

Locations are completely user defined and can be as vague as 'a building' or as specific as a position within 'a box'. The number and type of locations that can be created are limitless allowing the system manger to map out the whole company structure. The software uses a common Microsoft® Outlook user interface style to facilitate a quick and easy learning curve for new users. Once created samples or collections of samples can be selected and moved around the tree by a simple 'drag and drop' mechanism.

User-Definable Transaction Types

When receiving samples, moving samples or disposing of samples the reason and type of transaction will vary on day-to-day and item to item basis. Stacy allows complete control over the definition of the various transaction types and allows specification of all the entry fields required; including options for making entries unique and optional versus mandatory fields.

Radio-isotope Stock Control System

Stacy allows for the tracking and disposal of radioactive samples. The system allows for automatic creation of disposal records when transferring active samples to waste, disposal or accumulation sites. When combined with the Debra interface this provides complete inventory control from initial compound receipt through study usage and final disposal. Configurable License Limits can be imposed for each location to record the amount of activity that can be stored, accumulated or disposed of over a period of time, with warnings given when these limits are approached or exceeded.

Quickly find an item

Items can be located quickly in Stacy using the simple built in search tools.  Items can found via their name, particular attributes (e.g. show all items with activity above a certain amount) or bar-code.

Links to Debra

For users of Debra, Stacy provides an automated link to your study samples to allow the tracking of the location of all critical samples together with information of radioactivity and weight.

Complete chain of custody is recorded of where samples are moved and who has responsibility for the samples.

Debra batches can be viewed to remove groups of samples at a time.  Stacy can also read Debra labels to enable easy selection of samples and aliquots for movement or disposal.

Should samples be returned to a different department or sponsor or disposed of at the end of a study, you will always be able to see the final destination of the samples.

RS-232 interface for collection of weight data from balances

Stacy can record weight data directly from your lab balances using the RS232 connection.

Security

Stacy™ has a comprehensive and flexible security structure, which is used to control access to menu items, transactions and locations. Stacy is able to guard against unauthorized access to data, so is ideal for use in a regulatory environment. Security is assigned on a user-by-user basis; controlled by your system administrator and can be configured to the strength of your requirements.

System and sample-level security roles can be assigned to users to ensure that only those individuals who have the appropriate rights assigned to them can perform their necessary functions. Stacy can also use Windows authorisation to login.

GLP compliance including support for FDA 21 CFR Part 11

Stacy is designed to fully support GLP and associated regulatory requirements and specifications for both laboratory operations and laboratory software design. This includes functionality to meet with the FDA 21 CFR Part 11 ruling for electronic signatures and electronic records. The system allows for System Manager control of signature points on key events. Each area of the application that could require a signature is configurable.

Flexible Reporting

Stacy comes with many reports built in to show the history of items and locations by user, study or radioisotope. All reports can also be edited or created by users to suit your needs.
