The Role
We are looking for a proactive and highly organized Warehouse Coordinator to support the day-to-day business operations at our Chantilly office. This varied, hands-on role is responsible for warehouse activities, inventory control, shipping and logistics, equipment preparation, repairs, and operational support.
As the primary warehouse and logistics coordinator for the U.S. operation, you will oversee the day-to-day flow of goods, equipment, and customer shipments, ensuring inventory is well managed and orders are processed efficiently. While you will be the main point of contact for warehouse activities in Chantilly, you will work closely with colleagues across the U.S. business and receive ongoing support and guidance from the UK Production team.
The role also provides administrative and operational support for customer service and repair activities. Responsibilities
Warehouse & Inventory Management
- Maintain an organized warehouse environment and accurate inventory of instruments, spare parts, accessories, and consumables.
- Receive deliveries, manage stock levels, and support inventory control activities.
Shipping & Logistics
- Coordinate incoming and outgoing shipments, including courier bookings, shipping documentation, tracking, and issue resolution.
- Ensure customer orders, repairs, and equipment are dispatched accurately and on time.
Repairs & Technical Support
- Coordinate in-house repairs, ensuring equipment is tested, documented, and returned to customers efficiently.
- Prepare, configure, and maintain computers and related equipment for internal and customer use.
Operations & Service Support
- Support the administration of Care Wise service activities, including customer requests, service scheduling, and record keeping.
- Assist with coordinating repair requests and service tickets to ensure timely completion.
- Maintain accurate records and prepare routine operational reports as required.
- Prepare and ship trade show and marketing materials as required.
- Provide general operational and administrative support to the business.
Continuous Improvement & Team Collaboration
- Work collaboratively across departments, effectively prioritising workload to meet business needs.
- Contribute ideas to help improve day-to-day operational processes and efficiency.
- Undertake additional duties appropriate to the role as required.

Requirements
Essential
- Experience in a warehouse, logistics, operations, customer service, or administrative support role.
- Knowledge of warehouse operations, inventory management, and stock control processes.
- Experience coordinating shipments, courier bookings, and logistics activities.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Experience coordinating activities, customer requests, orders, or shipments in a fast-paced environment.
- Excellent communication and interpersonal skills with the ability to work effectively with customers, vendors, and internal teams, including colleagues based in the UK.
- Experience maintaining accurate records and using Microsoft Office and other business systems.
- A proactive, hands-on approach with strong attention to detail and problem-solving skills.
- Ability to work independently while contributing positively to a wider team.
Desirable
- Knowledge of warehouse operations, inventory management, and stock control processes.
- Experience coordinating shipments, courier bookings, and logistics activities.
- Experience supporting repairs, technical equipment, or product servicing activities.

Compensation & Benefits
This position offers a salary range of $50,000 - $60,000 per year, depending on skills, experience, qualifications, and overall fit for the role. In addition, we offer an excellent benefits package including a 401(k) with company match, comprehensive medical, dental, and vision insurance, and 21 days of paid vacation annually, in addition to company holidays.
